Orlando Mental Health Billing Service: 5 Easy Checks

An Orlando mental health billing service is an outside company that sends insurance claims, posts payments and follows up on denials for therapy and psychiatry practices in Orlando, in Central Florida. It helps most when a group practice is adding clinicians, because every new clinician brings new enrollments and new claim setup. This guide gives five checks to run, plus the Florida rules behind them.

Orlando: where a growing group practice strains billing

The U.S. Census Bureau’s QuickFacts page for Orlando lists a median household income of $72,336 for 2020 to 2024 in 2024 dollars. A median says nothing about one client’s plan. An Orlando mental health billing service should look at each client’s card, not at the zip code.

Adding clinicians one at a time

A group often starts with a founder and one or two clinicians, then adds more as the waitlist grows. Each new clinician needs payer enrollment before claims can go out under that name. Visits that happen before an effective date are the ones that deny.

An Orlando mental health billing service should track each clinician’s status with each payer in one place. It should also run insurance verification before each client’s first visit.

Claim setup when the roster changes

Each claim names a billing provider and a treating provider. When a new clinician joins, confirm the names, National Provider Identifiers (NPIs) and tax ID match what each payer has on file. A mismatch is a common reason a claim denies. Our credentialing guide walks through the enrollment side.

Psychiatry visits and out-of-network clinicians

Psychiatrists bill evaluation and management (E/M) visits, and often add a psychotherapy add-on code to the same visit. Check both lines together. See our guide to psychiatry billing services for the details.

If a clinician is out of network with a plan, ask whether the service bills out-of-network claims. MCM South bills out-of-network claims for clients.

Five checks an Orlando mental health billing service should run

Work through these five checks for every new clinician and every new payer, and again when a payer changes its rules.

CheckWhat to confirm
1. Commercial enrollmentEach plan’s enrollment status and effective date for each clinician, in writing
2. Medicare and Medicaid enrollmentThe clinician’s Medicare record, plus Florida Medicaid enrollment and each Medicaid plan’s own network status where you take Medicaid clients
3. Claim setupBilling and treating clinician names, NPIs and tax ID match each payer’s file; psychiatry add-on codes sit with the right E/M code
4. Plan typeEach commercial plan is marked fully insured or self-funded, since that decides which rules apply
5. Filing clocksMedicare’s 12 months, the Florida statute’s window for insurers and each contract’s own window

Ask what happens to visits before an effective date. Hold or reschedule those clients until the date is confirmed in writing.

Florida rules behind an Orlando mental health billing service

Keep private, public and state rules apart. A claim follows the rules of its payer type.

Private payers

Florida Blue is its own payer. Its provider page footer lists Blue Cross and Blue Shield of Florida, Inc. DBA Florida Blue among companies that “are Independent Licensees of the Blue Cross and Blue Shield Association.” Do not apply another state’s Blue plan rules to it, and do not treat it as Anthem.

The same page describes Availity as the place to “verify eligibility and benefits, submit claims, update demographic records and more.” Read your contract with our payer contract compliance guide, and keep payer contacts in our insurance companies contact directory.

Medicare and Medicaid

The Centers for Medicare & Medicaid Services (CMS) Jurisdiction N page lists First Coast Service Options, Inc. as the A/B Medicare Administrative Contractor for Florida, Puerto Rico and the U.S. Virgin Islands. It shows the status as fully implemented, with the award announced April 27, 2022.

Medicare.gov says Medicare claims must be filed no later than 12 months, or one full calendar year, from the date of service, unless an exception applies.

For Florida Medicaid, state law sorts counties into Statewide Medicaid Managed Care regions. The text of Florida Statutes section 409.966 says Region E consists of Brevard, Orange, Osceola and Seminole Counties. Plan names and filing limits come from each plan’s contract, so confirm both with each plan before you bill.

State rules

The Florida Senate’s text of section 627.6131 covers health insurer claim payment. It requires an insurer to pay, deny or contest an electronic claim within 20 days of receipt, and a paper claim within 40 days. An overdue payment “bears simple interest of 12 percent per year.”

The same section sets a 6-month window to send a claim to the primary insurer, counted from the date of service for outpatient services and from when the provider has the correct insurer name and address. Its latest history note is chapter 2025-45. The statute covers insurers it applies to, so check whether a client’s plan is fully insured or self-funded before you rely on it.

How do I choose an Orlando mental health billing service for a growing group practice?

Choose an Orlando mental health billing service that can show, for each clinician, which payers are active and from what date, and that bills Medicaid, Medicare and commercial claims by the rules of each.

Ask for your clean claim rate, a list of denial reasons and a sample monthly report. Ask how the service reads remittances, since each denial code points to a fix. Use our guide to CARC and RARC codes to check its answers. If you see clients by video, ask how it bills telehealth claims. Get fee terms in writing, and confirm in writing that the service bills in Florida.

What to do Monday morning

  1. List every clinician with each payer’s enrollment status and effective date.
  2. Write down the billing provider and treating provider names, NPIs and tax ID on file with each payer.
  3. Mark which clients are on Florida Medicaid, and which plan each one uses.
  4. Note whether each commercial plan is fully insured or self-funded.
  5. Pull your last remittance and note the top three denial reasons.
  6. Send the five checks to each Orlando mental health billing service you are considering.

An Orlando mental health billing service earns the job by confirming enrollment before claims go out, keeping claim setup current as clinicians join, routing Medicaid claims to the right plan, and tracking every payer’s clock. Get the answers, reports and fees in writing.

FAQ

Does a billing service need to be in Orlando?

No. Claims and reports move electronically, so a service can work with practices in Orlando, elsewhere in Central Florida and across Florida. Florida payer knowledge, written terms and clear reporting matter more than an address. Ask the service to confirm in writing that it bills in Florida.

How fast must a Florida health insurer pay a claim?

Section 627.6131 requires an insurer to pay, deny or contest an electronic claim within 20 days of receipt and a paper claim within 40 days. Overdue payments bear simple interest of 12 percent per year. Check that the plan is one the statute covers.

How long do I have to file a Medicare claim?

Medicare.gov says claims must be filed no later than 12 months, or one full calendar year, from the date of service, unless an exception applies.

Is Florida Blue the same as other Blue plans?

No. Its provider page lists Blue Cross and Blue Shield of Florida, Inc. DBA Florida Blue among Independent Licensees of the Blue Cross and Blue Shield Association. It is not Anthem. Use its own materials and your contract, not another state’s Blue plan rules.

Which Medicaid region includes Orange County?

Florida Statutes section 409.966 puts Orange County in Region E, with Brevard, Osceola and Seminole. Confirm each client’s plan on the date of service.
