Springfield Mental Health Billing Service: 5 Easy Essentials
A Springfield mental health billing service handles insurance claims for therapy and psychiatry practices in Western Massachusetts, from submission to payment posting and denial follow-up. Practices there bill commercial plans, Medicare and MassHealth, and each follows its own rules. This guide shows that mix and five essentials to confirm before you hand off billing.
What a Springfield mental health billing service has to sort out first
A Springfield mental health billing service has to match each claim to its payer type, because commercial, Medicare and MassHealth claims follow different rules. The payer type decides where the claim goes, how long you have to file and who answers a denial. Sort your caseload into those groups before you compare vendors.
Private payers
Health New England (HNE) is based in Springfield and describes itself as part of Baystate Health. Its site lists commercial, Medicare and Medicaid plans, and a provider area with a provider manual. If you see its members, get the manual before you bill them.
In the footer of its site, Blue Cross and Blue Shield of Massachusetts, Inc. calls itself an independent licensee of the Blue Cross and Blue Shield Association. Never carry one Blue plan’s rule over to a Blue plan in another state. Point32Health, parent of Harvard Pilgrim Health Care and Tufts Health Plan, keeps its manuals on a shared provider site.
Keep each plan’s rules in one place. Our guide to mental health insurance billing walks through the full claim cycle.
Medicare and MassHealth
Original Medicare claims from Massachusetts go to National Government Services, Inc., the contractor for Jurisdiction K, according to the Centers for Medicare & Medicaid Services (CMS). Medicare.gov lists psychiatrists, clinical psychologists, clinical social workers, marriage and family therapists and mental health counselors among covered outpatient mental health providers.
MassHealth is the state Medicaid program. Its provider handbook (updated August 21, 2026) says to check eligibility before you provide services. Messages from the Eligibility Verification System (EVS) show the type of health plan a member is in. MassHealth billing updates tracks what is changing.
In Western Massachusetts, BeHealthy Partnership is a MassHealth plan run by Health New England. Its site lists Springfield and the surrounding Hampden, Hampshire and Franklin counties as its area, and says it works with the Massachusetts Behavioral Health Partnership for mental health care. Members can sit in other plans, so check each one.
WellSense’s behavioral health insourcing overview says WellSense began administering behavioral health benefits for Massachusetts products on January 1, 2026, including the MassHealth ACO/MCO line. It lists a 150-day filing limit for that line and an HO modifier rule for LICSW, LMHC and LMFT claims from May 1, 2026.
State rules
As of October 25, 2026, Massachusetts General Laws chapter 176I, section 13 says covered telehealth costs a member no more than the same in-person service. It also says insurers must pay in-network behavioral health providers at least as much for audio-video or audio-only visits as for in-person ones. The page covers preferred provider contracts, so confirm the plan type.
The Division of Insurance (DOI) said in May 2025 that fully insured plans in Massachusetts cover mental health and substance use benefits, with cost sharing no higher than for medical care. Ask whether a client’s plan is fully insured or self-funded before you rely on a state rule.
For commercial filing windows, use the clock in your contract and the carrier’s manual.

Five essentials for a Springfield mental health billing service
Use the same five questions with every Springfield mental health billing service you compare. Write the answers down.
| Essential | What to confirm |
|---|---|
| 1. Payer type | Fully insured, self-funded, Medicare or MassHealth plan, for each client, through insurance verification |
| 2. MassHealth plan | BeHealthy, WellSense or another plan on the date of service, and who runs behavioral health |
| 3. Enrollment | Active payer credentialing with each plan, including HNE if you see its members |
| 4. Filing clock | MassHealth deadlines below; commercial windows from each contract |
| 5. Out of network and reports | Whether the service bills out-of-network claims, plus a monthly paid, denied and open view |
MassHealth filing clocks for a Springfield practice
The MassHealth billing timelines page (updated May 1, 2024) sets four clocks. Track each one by date of service. Managed care plans can set their own limits, as WellSense does, so read the plan’s manual too.
| Clock | What the page says |
|---|---|
| 90 days | MassHealth must receive the initial claim within 90 days of the service date |
| 12 months | Final deadline to resolve a claim first filed within 90 days |
| 18 months | Final deadline when another insurer was billed first |
| 36 months | After this, the claim is denied and cannot be appealed |
How do I choose a Springfield mental health billing service?
Pick a service that can name the payer types in your caseload, show how it tracks filing deadlines for each, and send a written report every month. Ask for a sample report and a HIPAA business associate agreement before any client record moves. Get fee terms in writing, and confirm that the service bills in Massachusetts.
What to do Monday morning
- Export your client list with each payer and plan type.
- Mark every MassHealth client and note the plan name.
- Write the filing window next to each payer name.
- Read an electronic remittance advice from your largest payer to see what it denied.
- Record your clean claim rate so you can judge any change.

FAQ
Which MassHealth plan serves Springfield?
Several can. BeHealthy Partnership, run by Health New England, lists Springfield and Hampden, Hampshire and Franklin counties as its area on its own site. Other MassHealth plans also operate, so check the member on the date of service.
How long do I have to bill MassHealth?
The MassHealth billing timelines page says an initial claim must reach MassHealth within 90 days of the service date. You then have 12 months from the service date to resolve it, or 18 months if another insurer was billed first. Plans that manage MassHealth members can set their own limits.
What changed for WellSense behavioral health claims?
WellSense says it began administering behavioral health benefits for Massachusetts products on January 1, 2026. Its overview lists a 150-day filing limit for the MassHealth ACO/MCO line. It also says LICSW, LMHC and LMFT claims need the HO modifier from May 1, 2026.
Can a Springfield practice use a billing service outside Springfield?
Yes, if the service bills in Massachusetts and knows these payers. Billing is electronic, so address matters less than payer knowledge. Ask the service to confirm Massachusetts coverage in writing and to explain how it tracks each payer’s filing clock.
