Memphis Mental Health Billing Service: 5 Easy Checks

A Memphis mental health billing service is an outside company that sends insurance claims, posts payments and follows up on denials for therapy and psychiatry practices in Memphis, Tennessee. It helps most when a group practice has several clinicians, TennCare managed care plans, a BlueCross plan and Medicare all in one week. This guide gives five checks to run, plus the Tennessee rules behind them.

Memphis: why a group practice feels the payer mix

The U.S. Census Bureau’s QuickFacts page for Memphis lists a median household income of $51,736 for 2020 to 2024 in 2024 dollars. That figure says nothing about any one client’s coverage. A Memphis mental health billing service should read each client’s card, not the zip code.

TennCare plans change the work

TennCare is Tennessee’s Medicaid program. Its managed care organizations page lists four health plans: Wellpoint (formerly Amerigroup), BlueCare, UnitedHealthcare Community Plan and TennCare Select. The page groups counties into western, middle and eastern Tennessee tables, and Shelby County appears in the western table.

For a group practice, that means one clinician may need a contract with more than one plan. A Memphis mental health billing service should track each clinician’s status with each plan in one place, and run insurance verification before every first visit.

Several clinicians, one tax ID

Groups bill under one tax ID with a treating clinician on each line. When a new clinician joins, the group’s claims can fail if that clinician is not yet active with the payer. Hold visits for that payer until the effective date is in writing. Our guide to credentialing for therapists explains the process without promising a timeline.

Medicare-age clients and psychiatry visits

Ask at intake whether a client has Original Medicare, a Medicare Advantage plan or a plan through a former employer. Each sends the claim to a different place. Psychiatrists bill evaluation and management (E/M) visits, often with a psychotherapy add-on code on the same visit, so check both lines together. See psychiatry billing services for the details.

If a clinician is out of network with a plan, ask whether the service bills out-of-network claims. MCM South bills out-of-network claims for clients.

Five checks a Memphis mental health billing service should run

Run these five checks for every new clinician and every new payer, and again when a payer changes its rules.

CheckWhat to confirm
1. TennCare enrollment and plan contractsEach clinician has a TennCare Medicaid ID and a written contract with each plan whose members you see
2. Commercial and Blue enrollmentEach plan’s effective date in writing, with BlueCross BlueShield of Tennessee treated as its own payer
3. Medicare enrollmentThe clinician’s Medicare record is current before the first Medicare visit
4. Claim setupBilling and treating clinician names, NPIs and tax ID match each payer’s file; add-on codes sit with the right E/M code
5. Filing clocksMedicare’s 12 months, each TennCare plan’s window and each commercial contract’s own window

Ask what happens to visits before an effective date. Hold or reschedule those clients until the date is confirmed in writing.

Tennessee rules behind a Memphis mental health billing service

Keep private, public and state rules apart. A claim follows the rules of its payer type.

Private payers

The footer of BlueCross BlueShield of Tennessee’s provider site (copyright 1998 to 2026) describes the company as “an Independent Licensee of the Blue Cross Blue Shield Association.” Treat it as its own payer. Do not apply another state’s Blue plan rules to it.

The site’s Tools & Resources section includes a Coverage & Claims page and a Behavioral Health section. Your contract controls the rest, so read it with our payer contract compliance guide, and keep payer contacts in our insurance companies contact directory.

Medicare and Medicaid

The Centers for Medicare & Medicaid Services (CMS) lists Palmetto GBA, LLC as the A/B Medicare Administrative Contractor for Jurisdiction J, which covers Alabama, Georgia and Tennessee. The page shows the contract as “Fully implemented,” with an award date of August 29, 2024.

Medicare.gov says claims must be filed no later than 12 months after the service, unless an exception applies.

For TennCare, the state’s provider page says providers “need to enroll with TennCare to receive a Medicaid ID.” It adds that each managed care organization sets its own provider contracts, fee schedules and claims processing. Ask each plan for its claim filing window in writing before you bill.

State rules

The Tennessee Department of Commerce and Insurance published a bulletin on Tenn. Code Ann. section 56-7-109, the prompt pay statute. The bulletin says the statute requires “clean claims be paid no later than 30 calendar days after the date that an issuer receives a claim from a provider.” It is dated 2014 and was written for health insurers on the federal Marketplace, so confirm which rules reach each plan type before you rely on it.

For an insurer dispute, the department’s consumer resources page says its Consumer Insurance Services section handles “investigation and mediation of insurance claims and other insurance related disputes.” Confirm with the payer or your counsel which route fits a provider claim.

How do I choose a Memphis mental health billing service for a group practice?

Choose a Memphis mental health billing service that can show, for each clinician, which payers and TennCare plans are active and from what date, and that bills Blue, commercial, Medicare and TennCare claims by the rules of each.

Ask for your clean claim rate, a list of denial reasons and a sample monthly report. Ask how the service reads remittances, since each denial code points to a fix. Use our guide to CARC and RARC codes to check its answers. Get fee terms in writing, and confirm in writing that the service bills in Tennessee.

What to do Monday morning

  1. List every clinician with each payer’s enrollment status and effective date.
  2. Add a plan column to your client list: BlueCross, commercial, Original Medicare, Medicare Advantage or the TennCare plan name.
  3. Confirm each clinician has a TennCare Medicaid ID before the next TennCare visit.
  4. Write each payer’s filing window next to its name, using your contract.
  5. Pull your last remittance and note the top three denial reasons.
  6. Send the five checks to each Memphis mental health billing service you are considering.

The short version: Memphis mental health billing service

A Memphis mental health billing service earns the job by confirming enrollment before claims go out, treating BlueCross BlueShield of Tennessee as its own payer, routing Medicare and TennCare claims correctly and tracking every payer’s clock. Get the answers, reports and fees in writing.

FAQ

Does a billing service need to be in Memphis?

No. Claims and reports move electronically, so a service can work with practices in Memphis and across Tennessee. Tennessee payer knowledge, written terms and clear reporting matter more than an address. Ask the service to confirm in writing that it bills in Tennessee.

Is BlueCross BlueShield of Tennessee the same as other Blue plans?

No. Its provider site describes it as an Independent Licensee of the Blue Cross Blue Shield Association. Use its own provider resources and your contract, not another state’s Blue plan rules.

Which health plans does TennCare list?

TennCare’s managed care organizations page lists Wellpoint (formerly Amerigroup), BlueCare, UnitedHealthcare Community Plan and TennCare Select. Check the page for the plans available in your county, and get each plan’s filing window in writing.

Who processes Medicare claims in Tennessee?

CMS lists Palmetto GBA, LLC as the A/B Medicare Administrative Contractor for Jurisdiction J, which includes Tennessee. Medicare.gov says claims must be filed no later than 12 months after the service, unless an exception applies.

How fast must a Tennessee insurer pay a clean claim?

A Tennessee Department of Commerce and Insurance bulletin quotes Tenn. Code Ann. section 56-7-109 as requiring clean claims to be paid no later than 30 calendar days after the insurer receives them. Check which rules apply to the plan type before relying on that timeline.
