Charlotte Mental Health Billing Service: 7 Easy Essentials
A Charlotte mental health billing service handles insurance claims for therapy and psychiatry practices, from submission to payment posting and denial follow-up. Charlotte practices usually bill commercial plans, Medicare and NC Medicaid, and each follows different rules. This guide covers that mix and seven essentials to confirm before you hand off billing.
What a Charlotte mental health billing service has to sort out first
A Charlotte mental health billing service has to match every claim to the right payer type, because commercial, Medicare and NC Medicaid claims follow different rules. The payer decides where the claim goes, how long you have to file and who answers a denial. Sort your caseload into those groups before you compare vendors.
Private payers
Blue Cross and Blue Shield of North Carolina (Blue Cross NC) says on its About page that it is the only not-for-profit health insurer based in the state. Its provider portal, Blue e, handles eligibility checks, CMS-1500 claims and claim status. Our Blue Cross NC billing guide adds plan details.
Blue Cross NC extended telehealth reimbursement to certain behavioral health services on April 10, 2024, for commercial, host and Federal Employee Program plans. It still requires the right place of service, code and modifier. Never carry another Blue plan’s rules over to this one.
Medicare and Medicaid
Original Medicare claims from North Carolina go to Palmetto GBA, the Medicare Administrative Contractor (MAC) for Jurisdiction M. A Centers for Medicare & Medicaid Services (CMS) page lists North Carolina, South Carolina, Virginia and West Virginia in it, and Palmetto GBA’s site shows the same states.
NC Medicaid (page modified August 28, 2026) lists four standard plans: AmeriHealth Caritas North Carolina, Healthy Blue of North Carolina, UnitedHealthcare of North Carolina and Carolina Complete Health. Carolina Complete Health’s coverage map places Mecklenburg County, home of Charlotte, in Region 3. Our NC Medicaid billing guide adds codes and payers.
Tailored Plans, which started July 1, 2024, serve members with serious mental illness, severe substance use disorders, intellectual or developmental disabilities or traumatic brain injury, per the NC Medicaid Tailored Plan page. NC Medicaid’s June 2024 fact sheet assigns Mecklenburg County to Alliance Health.
Policy 8-C says licensed psychologists, counselors, clinical social workers and marriage and family therapists must be NC-licensed and enrolled directly in Medicaid or the prepaid health plan. That version was amended September 1, 2021, so check for newer text.
The Medicaid prompt payment fact sheet (December 2024) says plans pay or deny clean medical claims within 30 days. Providers file within 365 days of service, and Tailored Plans use 90 days for state-funded services.
State rules
North Carolina’s prompt pay law, G.S. 58-3-225, requires insurers to pay, deny or send notice within 30 calendar days of receiving a claim. Late payments accrue 18% annual interest. The law excludes plans administered by the state or federal health department, which is why Medicaid has its own standard.
For group health plans, G.S. 58-3-220 requires mental illness benefits no less favorable than physical illness benefits, with at least 30 office visits a year. The North Carolina Department of Insurance takes complaints about insurers. For Medicaid, policy 1-H (amended February 15, 2025) sets no originating site limits, so the client’s home can qualify.

How do I choose a Charlotte mental health billing service?
Pick a Charlotte mental health billing service that can name your payer types, show how it tracks each filing deadline and send a written report monthly. Ask for a sample report and the HIPAA business associate agreement before any client record moves. Get fee terms in writing, and confirm in writing that the service bills in North Carolina.
What to do Monday morning
- Export your client list with each payer and plan type.
- Mark every Medicaid client as a standard or Tailored Plan member.
- Write each payer’s filing window next to its name.
- Read an electronic remittance advice from your largest payer to see what it denied.
- Record your clean claim rate, so you can judge any change.
